Environmental Audit Process

 

The information gathering exercise for an Environmental Audit has the following main components.

 

1 Documented Data

 

To assist in collecting the data The Green Consultancy will send data collection templates for completion prior to the site visits.  Examples of data required, depending on the level of audit, are as follows.  If we have recently carried out an Energy Efficiency Audit or Carbon Footprinting we will already have some of this).

  • Fuel and water consumption: for at least the most recent year and preferably the most recent two or three years
  • Records of transport and staff business travel.
  • Waste collection invoices for disposal/recycling.
  • Procurement records for the last year
  • Floor plans to give an accurate picture of layout and floor area.
  • Architectural drawings/details: details of the structure of the building, principally how the walls and roof are constructed and any existing insulation measures and the construction date.  If not available we can estimate during the site visit.
  • Building services: information on the buildings heating, ventilation and air conditioning systems (number, type and power of units), ideally in the form of an Asset Register.  If not available we can estimate during the site visit.

 

2 Staff Questionnaire

 

Ideally this is sent to all members of staff by email attachment to be completed and returned electronically or printed it off and returned by internal mail.  Content will vary depending on the level of service.  The questionnaire generally covers occupancy, usage of office equipment, business travel, commuting, and behaviour, water use, training needs, comfort and areas of concern.

 

3 Interviews with Managers

 

Meetings, typically 30-45 minutes, with appropriate managers, such as Premises Manager, IT Manager, Finance Manager to cover issues such as:

  • Occupancy times
  • General activities on the site
  • Organisational structure
  • Tenure
  • Heating and cooling settings
  • Procurement policy
  • IT policy
  • Waste and recycling procedures
  • Areas of concern – e.g. overheating, lack of heat

 

4 Site visit

 

Auditor walks around the site visiting key areas such plant rooms, electricity, gas and water meters and taking measurements.

 

5 Additional for Baseline Review Only

  • Systematic appraisal of all environmental aspects and associated impacts.  This can be covered in an interview setting using Green Consultancy templates.
  • Appraisal of legal and other requirements (e.g. codes of practice etc).
  • Detail of existing environmental management (e.g. environmental policy, procedures for ensuring compliance with legal requirements etc).
