Our audit process

To enable us to carry out an audit of your business, we need to gather the following information and undertake the majority of the tasks listed. We scope with you what is needed so that your audit meets your business requirements:

1 Documented data

The Green Consultancy will send data collection requests – often as templates - to you for completion prior to the site visits. Examples of the data required, depending on the level of audit, are as follows:

  • Fuel and water consumption for at least the most recent year and preferably the most recent two or three years
  • Records of transport and staff business travel
  • Waste collection invoices for disposal/recycling
  • Procurement records for the last year
  • Floor plans to give an accurate picture of layout and floor area.
  • Architectural drawings/details: details of the structure of the building, principally how the walls and roof are constructed, any existing insulation measures, and the construction date. If this information is not available we can estimate during the site visit.
  • Building services: information on the buildings heating, ventilation and air conditioning systems (number, type and power of units), ideally in the form of an Asset Register. Again, if this information isn’t available we can estimate during the site visit.

(Please note, that if we have recently undertaken carbon foot printing or an energy efficiency audit for you, we will already have some of the data referred to above.)

2 Review of policies and procedures

  • We will review your current policies relevant to your organisation’s environment impacts with the aim of identifying any omissions or weaknesses. It’s important that each of your policies and procedures for implementing them are fit-for-purpose. Poor linkages between policies can make your governance systems less effective
  • If needed, we can help you draft, and get buy-in for, new environmental and related policies and procedures to help ensure compliance with legal requirements

3 Staff questionnaire

Ideally this is sent as an email attachment to all members of staff, and should be completed and returned electronically or printed then returned by internal mail. Content will vary depending on the level of service. The questionnaire generally covers occupancy, use of office equipment, business travel, commuting, behaviour, water use, training needs, comfort, and any areas of concern.

4 Interviews with managers

Typically lasting 30 to 45 minutes, meetings with appropriate managers (for example, the premises manager, IT manager and finance manager) will cover issues such as:

  • Occupancy times
  • General activities on the site
  • Organisation structure
  • Tenure
  • Heating and cooling settings
  • Procurrement policy
  • IT policy
  • Waste and recycling procedures
  • Areas of concern, such as overheating or a lack of heat

5 Site visit

The auditor will walk around the site to take measurements and see key areas such as plant rooms, electricity, gas and water meters.
